What personal information we collect, why, who we share it with and what your rights are under the Protection of Personal Information Act 4 of 2013 (POPIA). It applies to our website, our services and our dealings with clients, suppliers and anyone who contacts us.
1. Who is responsible
Dimensie (Pty) Ltd, registration number 2026/823648/07 (“Dimensie”, “we”, “us”), is the responsible party for the personal information in this notice. Our registered address is 6 Cowley Lane, Dryland, Oudtshoorn, Western Cape, 6620.
You can reach our Information Officer at brandon@dimensie.co.za.
When we build or run websites, listings, advertising, social media or messaging for a client, the client is the responsible party for its customers’ information and we process it on the client’s behalf as an operator, under a written agreement. Questions about that information should go to the client first.
2. What we collect
When you message us on WhatsApp, the message passes through WhatsApp, a service run by Meta. We collect information from you directly, from your business, or from public sources such as your own website and business listings. We do not collect special personal information (such as health or religious information) unless the law allows it and we have told you why.
3. Why we use it
We process personal information only with a lawful reason under section 11 of POPIA: your consent, a contract with you, a legal obligation, or our or your legitimate interests.
4. Who we share it with
We do not sell personal information. We share it only with: service providers who store or process it for us (such as e-mail, cloud storage, web hosting and accounting software); our bank, accountants and professional advisers; and authorities where the law requires it. Each service provider must protect the information under a written agreement.
Some service providers keep data on servers outside South Africa. We use only providers bound by law or contract to protect it to a standard similar to POPIA, as section 72 of POPIA requires.
5. How long we keep it
We keep personal information only as long as we need it for the purpose we collected it for, or as long as the law requires: for example, tax and accounting records for at least five years. Then we delete it or make it anonymous.
6. How we protect it
We use individual accounts with strong passwords and two-step sign-in where a service offers it, limit access to the people who need it, use encrypted devices and secure cloud storage, and bind our staff and service providers to confidentiality. If personal information is compromised, we tell the Information Regulator and the people affected as section 22 of POPIA requires.
7. Your rights
You may ask us whether we hold personal information about you and for a copy of it; ask us to correct or delete it; object to our processing it; and withdraw consent you gave. Write to the Information Officer at brandon@dimensie.co.za. We may ask you to confirm your identity first. Our PAIA and POPIA manual, available from the Information Officer, explains how to ask for records and what it costs.
If you are unhappy with how we handled your personal information, you may complain to the Information Regulator: enquiries@inforegulator.org.za, www.inforegulator.org.za.
8. Children
Our services are for businesses. We do not knowingly collect personal information from children, except where we employ a young person, and then only with a parent’s or guardian’s consent.
9. Changes
We may update this notice. The date at the top shows when it last changed.
